Executive Assistant to the Executive Director of Development
Primary Responsibility: Responsible for the day-to-day operations of the Executive Office while serving as the primary liaison to internal and external partners on behalf of the executive director. Functions as an extension of the executive director by anticipating needs and proactively addressing issues with an emphasis on sound judgment, initiative and confidentiality, with appropriate but minimal direction.
Direct Supervisor: Executive Director of Development
Responsibilities:
- Provides oversight of all materials for the executive director’s schedule including, PowerPoint presentations, correspondence and other administrative functions
- Maintains the executive directors appointment schedule by planning and scheduling meetings, conferences, teleconferences and travel
- Monitors internal and external deadlines for the executive director and provides appropriate reminders
- Responsible for all administrative tasks supporting board meetings, including: the management of board and committee meeting calendars, creating all relevant meeting materials, produces meeting minutes, and handles the timely distribution of board books prior to meetings
- Coordinates mailings, drafts correspondence and copy edits materials from the Office of the Executive Director
- Schedules and prepares conference rooms for meetings, and provides logistical support for external and internal meetings
- Develops meeting agendas, workflow for specific action/follow-up items from each meeting and prepares necessary documentation
- Works closely with the development team in coordinating the executive director’s outreach activities, especially in supporting donor management
- Follows-up on contacts made by the executive director and supports the cultivation of ongoing and prospective relationships
- Provides support for special projects, as needed

- Highly discreet and able to be trusted with confidential information relating to the organization and its staff
Position Requirements:
- Bachelor’s Degree (preferred)
- Experience in development and fundraising
- Expert proficiency in Microsoft Office (Outlook, Word, Excel and PowerPoint) including experience in management of an Executive Director’s electronic calendar and inbox
- Excellent writing, copy editing and communications skills
- Detailed and priority-oriented
- Self-motivated team player
