Office Manager for Catholic Education Advancement

Primary Responsibility: Perform duties which are necessary for the smooth operation of the Catholic Education Advancement office and its entities
Direct Supervisor: Controller
Responsibilities:
- Provide support for the Controller
- Monitor expenses and proceeds
- Oversee processing of bills for payment including preparing and batching payment vouchers; coding all expenses and producing ACH transmittals for accounts payable
- Analyze and compare distribution of grants from restricted and unrestricted funds for fulfilling disbursements
- Manage and process Inner-City’s Merrill Edge stock account
- Withdraw and deposit funds for Inner-City Scholarship- Fund’s (Inner-City) endowment accounts
- Coordinate with Archdiocese Human Resources department on all employee relations including staff recruitment and development, salary and benefits administration and staff attendance
- Oversee general operating budget and ensure sound management
- Support preparation of Inner-City’s 990 form
- Oversee facilities management including purchasing and maintaining of all office equipment , supplies and technology needs
- Coordinate staff training as needed for optimum productivity
- Implement operational initiatives to improve productivity and efficiency for the office
- Perform other tasks as directed by the CEA Controller\
- Work in conjunction with data manager
- Perform special projects as needed

Performance Standards:
- Pay all invoices within two weeks of receipt of invoice and prepare vouchers with high level of accuracy
- Ensure that the budget for Inner-City is monitored carefully
- Assure that all grants are disbursed on schedule according to donor restrictions
Position Requirements:
- Bachelor’s degree required, finance or accounting major preferred
- One to two years experience of office management preferred, ideally in a non profit environment
- Proficient in Microsoft Office, accounting and fundraising software with knowledge of Lawson and Raisers Edge a plus
- Maintain office confidentiality
Personal Characteristics:
- Organized, detail oriented, highly motivated, a self starter with an ability to work independently and carry out multiple tasks concurrently
- Willingness to assist other department staff with tasks necessary to meet deadlines and management expectations
- Possess initiative in seeking out ways to improve office efficiency
- Ability to work with all levels of staff and as a member of a team
