Primary Responsibilities
- Office of Early Childhood
- Respond to telephone and communications from ADNY staff, principals, pastors, NYC DOE contacts with their Division of Early Childhood offices
- Assist Director of Early Childhood with meeting preparations, presentations, spreadsheets
- Create “Tip Sheets” for principals that breakdown different Early Childhood protocols and/or NYC DOE requirements
- Collect, organize and filter out resumes for Early Childhood, teachers, teacher assistants
- Draft emails and letters necessary for the Director of Early Childhood
- Maintain communication with outside Early Childhood vendors interested in setting-up meetings to discuss products/services
- Work with ADNY Marketing Department and development office to host “Community Fairs” within some of our Pre-K For All Schools
- Receive and fill out necessary paperwork for submission of invoices when received
- UPK Operations
- Prepare UPK Request for Proposal (RFP) applications for NYC and Counties
- Keep track of VENDEX and Renewal Contracts
- Work with applying and existing principals of Pre-K for All contracts in filling out and maintaining all necessary requirements given by NYC DOE and NYSED.
- Primary contact with NYC DOE and NYSED operations team and contracts and purchasing department to supply all necessary documents
- Collect, edit, finalize and organize all necessary UPK contract documents

- VENDEX questionnaires

- final agreements
- Handle all Insurance paperwork and all licensing permits for contract registration for NYC and NYSED
- Maintain Article 43 Permits
- Turnkey NYC DOE announcements, deadlines, protocols and systems to ADNY principals and schools’ front office staff (i.e. meeting sign-ups, fingerprinting protocol, enrollment process)
- Attend all NYC DOE Operation and Enrollment meetings
- Maintain Relationships with variety of DOE Representatives
- Mayor’s Office
- DCP
- Special Education
- Transportation
- DECE Instructions
Position Requirements:
- Detail and Priority Oriented
- Expert proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel)
- Proficiency in Adobe Acrobat
- Excellent organizational, analytical, and interpersonal skills; with the ability to multi-task utilizing time management skills
- Ability to effectively communicate information via email and phone within our organization and schools as well as NYC Department of Education
- Assist in helping other office personnel with special projects when needed related to Early Childhood
- Other duties as assigned
- 9- 5 hours, must be able to stay late when there are deadlines. Occasional evening functions.
- Must be able to be my representative when I cannot be available
- Must be able to travel
- Bachelor’s degree required- Masters in Business preferred
