Job Description
Provide administrative support in a confidential manner to the Vicar General, Vice Chancellors, and Director of Pastoral Planning, affiliated clergy/religious in the various responsibilities of the Chancery Office
Carry out all responsibilities in a manner consistent with the moral principles of the Catholic Faith and the Archdiocese of New York’s mission, teachings, and values
Perform varied clerical and administrative duties requiring knowledge of office routine and an understanding of the organization and procedures related to the work of the office
In the absence of another office team member, assume responsibilities of that person which require immediate attention
Specific Duties
- Assist the Vice Chancellor in processing all marriage dispensations and marriage related issues and in preparation of statistical reports and publications
- Stay current in a working knowledge of the archdiocesan marriage guidelines and requirements for dispensations, sanations, and celebrets
- Maintain an accurate log of all types of marriages and related issues, i.e., Clergy Registrations with the City of New York
- Process and update Parish Trustee Information
- Update Ordo information, due by April each year
- Process all parish baptismal, communion, and confirmation changes
- Assist the Vice Chancellor in preparation of publications and statistical reports, e.g., OCD, Catholic Telephone Guide, Annual Sacramental Report, etc.
- Input information into the Sacramental Trends System database
- Respond to all internal and external inquiries (telephones, e-mail, etc.) in a diplomatic and professional manner, processing them as needed, prior to referral to clergy/religious and /or key staff, i.e. Office of Communications
- Schedule meetings for the Vice Chancellors and affiliated clergy and religious
- Assist the administrative staff in matters related to sacramental inquiries, requests, record searches, and maintenance of records
- Assist in special projects as needed
Education & Experience
Associate Degree in Business Administration preferred
Five years of administrative experience
Bilingual (English/Spanish)
Proficient in Microsoft Office, specifically, Word, Excel, and Power Point
Personal Characteristics

POSITION DESCRIPTION:
The Accounting Coordinator will work closely with the principals of the Catholic School Regions of the Archdiocese of New York to provide direct financial administrative support and resolve financial and accounting issues. The Accounting Coordinator will be assigned to no more than five schools and will be present in his or her assigned schools at least once a week. The Accounting Coordinator reports to the Accounting Supervisor and will ensure that there is a review of all information sent to the Treasury Operation unit.
RESPONSIBILITIES AND DUTIES:
- Make on-site weekly visits to each assigned
- Collect and review vendor invoices and in school deposits with principal.
- Coordinate with principal on funding needs for upcoming events.
- Process vendor invoices and consolidated bills using ConnectNow Accounting; maintain accounts payable
- Consolidate all accounts payable for finance manager
- Coordinate with the treasury operation unit to review and identify exceptions in
- Record banking deposits of funds received at the school level that are not electronically interfaced with the Treasury Operations
- Input payroll data for assigned schools.
- Manage and maintain all phases of the payroll process.

QUALIFICATIONS:
- Four year accounting degree or equivalent experience
- Strong oral and written communication skills

Position Summary
The Sheen Center Programming Associate (SCPA), with an emphasis on Theater and Talks, is a member of the Center’s programming and producing teams. The SCPA is a creative thinker, possessing solid dramaturgical skills and the ability to curate and evaluate theater scripts. The SCPA also possesses a sure understanding of the New York off-Broadway and off-off Broadway communities and is able to leverage existing connections, and make new ones, in service of the Sheen Center’s programming goals in Theater.
S/he also possess the intellectual gifts and presentation skills necessary to advance the Center’s programming goals in the area of Talks and is comfortable in a broad arena of talk subjects, including author’s nights, panel discussions and Catholic-centric programs aligned with the Sheen Center’s mission.
Reporting to: Director of Program Administration
Areas of responsibility:
- For Sheen-produced events:
- Serve as the Sheen’s ‘eyes and ears’ for theater happenings in NYC, regional theaters and on the international theater scene.
- Read and provide analysis of scripts under consideration for either of our theaters.
- Originate project ideas in talks and theater categories and participate in the development of original projects,
- Serve as line producer for Theater and Talk events, including serving as the primary contact with Artists, speakers, panelists, moderators; communicate in a timely way with other Sheen Center departments and coordinate efforts among all departments to ensure the successful execution of all Events
- Design and potentially lead theater talkbacks, other talks, symposia and discussions on a variety of culturally relevant topics.
- Suggest, foster and develop relationships with thought leaders, theater artists and companies that fit the Sheen Center mission.
- Attend readings of new plays, workshops and literary salons as time allows to scout specific and Sheen-appropriate works and artists
- Other Responsibilities
- Serve as a co-producer of the Sheen Center Theater Festival
- Serve as a primary contact person for theater, music and talks rental inquiries.
- Serve as a first-line curator of potential theater rental programming, reviewing content with clients and the other Programming Associate.
- Give tours of the Sheen Center to prospective renters and producing partners
- Other duties as needed.
Job Requirements
Masters degree preferred.
Strong industry connections in theater community.
Ability to develop new contacts in the areas of Theater and Talks.
Superior ability to analyze scripts and provide insightful and concise written evaluations.
Ability to manage projects and communicate effectively as a line producer for thought programming.
Better than average people skills.
Very strong writing and superb communication skills.
