Primary Responsibility: Perform duties which are necessary for the smooth operation of the Catholic Education Advancement office and its entities
Direct Supervisor: Controller
Responsibilities:
- Provide support for the Controller
- Monitor expenses and proceeds
- Oversee processing of bills for payment including preparing and batching payment vouchers; coding all expenses and producing ACH transmittals for accounts payable
- Analyze and compare distribution of grants from restricted and unrestricted funds for fulfilling disbursements
- Manage and process Inner-City’s Merrill Edge stock account
- Withdraw and deposit funds for Inner-City Scholarship- Fund’s (Inner-City) endowment accounts
- Coordinate with Archdiocese Human Resources department on all employee relations including staff recruitment and development, salary and benefits administration and staff attendance
- Oversee general operating budget and ensure sound management
- Support preparation of Inner-City’s 990 form
- Oversee facilities management including purchasing and maintaining of all office equipment , supplies and technology needs
- Coordinate staff training as needed for optimum productivity
- Implement operational initiatives to improve productivity and efficiency for the office
- Perform other tasks as directed by the CEA Controller\
- Work in conjunction with data manager
- Perform special projects as needed

Performance Standards:
- Pay all invoices within two weeks of receipt of invoice and prepare vouchers with high level of accuracy
- Ensure that the budget for Inner-City is monitored carefully
- Assure that all grants are disbursed on schedule according to donor restrictions
Position Requirements:
- Bachelor’s degree required, finance or accounting major preferred
- One to two years experience of office management preferred, ideally in a non profit environment
- Proficient in Microsoft Office, accounting and fundraising software with knowledge of Lawson and Raisers Edge a plus
- Maintain office confidentiality

Primary Responsibility: Execute all marketing and communication initiatives for Champions for Quality Education
Direct Supervisor: Deputy Director, Champions for Quality Education
Responsibilities:
- With Deputy Director and Associate Director of Development for Champions for Quality Education (Champions), develop and execute marketing and communications strategy
- Support Catholic Education Advancement’s (CEA) Director of Marketing and Communications by working with external stakeholders to elevate the mission and brand of the Archdiocese of New York’s (ADNY) Catholic schools through advertising, public relations, direct marketing, and social media
- Produce mass and personalized marketing material for print, email, online, social media and video
- Oversee special mailings and emails to donors and non-donors in Champions’ collective mail file (including Catholic Alumni Partnership, Capital Improvements Committee, and School Advisory Boards)
- In collaboration with the Associate Director and Deputy Director create and implement the production of stewardship materials including reports, gift acknowledgments, and thank you gifts for donors
- Administer Corporate Volunteer programs with support from the Associate Director of Development
- Design and produce fundraising reports and publications
- Oversee production and facilitation of marketing and in-room fundraising materials for all Champions events
- Assist with CEA special events as required
- In collaboration with the ADNY Department of Education’s (DOE) marketing team, create templates for school newsletters using boilerplate articles from the DOE and recommendations for simple drop in text the schools can personalize (in keeping with ADNY approved brand identity guidelines)
- In collaboration with DOE marketing team, develop resource materials for use by schools in their marketing and communications efforts
- Collaborate with Associate Director of Development to ensure smooth contact management
- Analyze campaign impact on a regular basis and offer recommendations for continual process improvement
- Work with CEA Marketing and Communications Director to ensure brand and messaging consistency across all Champion communication channels
- Assist CEA Marketing and Communications Director with special projects as needed

Primary Responsibility: Providing support to the Director of Donor Relations with the daily operations of the Donor Relations division, and the management of the various Donor Relations Team projects
Direct Supervisor: Director of Donor Relations
Responsibilities:
- Create and maintain development templates, and prepare correspondence, reports, presentations, or other information for distribution
- Assist in scheduling donor meetings and provides logistical support as directed, and in collaboration with the Executive Director’s Executive Assistant
- Assist in top donor/signature special events logistics and overall event execution
- Process gifts in conjunction with division’s campaigns, guidelines, and procedures; liaise with Donor Database Center for prompt entry of gifts, pledges, and report requests

Sales Representative – Brooklyn
Position Description: Institutional Commodity Services (ICS) is the central purchasing office for parishes, schools and Catholic institutions in the Greater New York area. Founded and headquartered in the Archdiocese of New York, it also serves the Archdiocese of Newark and the Dioceses of Albany, Bridgeport, Brooklyn and Camden.
The Director of Sales-Brooklyn handles the geographic area of Brooklyn and other designated areas to promote ICS as a purchasing resource and help customers achieve significant discounts on quality products and services. The salaried Director of Sales – Brooklyn reports directly to the executive director of ICS with a reporting line to the Marketing and Sales Manager.
Key Responsibilities:
Coordinate and Manage
- Meet with representatives of all Catholic institutions in the assigned area, including parish pastors, administrators and business managers, principals, executive directors and religious superiors.
- Understand the customers and their needs, recommend new products, and identify cost-efficient alternatives to existing products and manufacturers.
- Deliver timely price quotations to clients.
- Follow up to ensure all orders were received completely and the customer is satisfied.
- Follow up on any customers with outstanding invoices greater than 60 days; help establish payment arrangements, if needed.

Position Description: Institutional Commodity Services (ICS) is the central purchasing office for parishes, schools and Catholic institutions in the Greater New York area. The mailroom clerk provides support services to ensure accurate and timely delivery and distribution of mail and packages at the Catholic Center. The mailroom clerk also supports the filing operations of the ICS senior accountant. He or she reports directly to the mailroom manager, with a reporting line to the ICS senior accountant.
Key Responsibilities:
Coordinate and Manage
- Sort incoming mail from the U.S. Postal Service.
- Distribute mail to offices and pick-up inter-office and outgoing mail.
- Deliver incoming packages from commercial and private delivery services.
- Arrange outside messenger services, as needed.
- Assist with delivery of office supplies.
- Record all parcels shipped via UPS; maintain accounting of each package received at the Catholic Center for delivery within the building.
