JOB GOAL:
The Customer Relationship Management Analyst/Data Management incumbent will work with the Director of Enrollment Management and colleagues within the Office of the Superintendent of Schools in the Archdiocese of New York to manage, maintain and enhance customer relationship management and data management tools, software and outputs relating to current and prospective parents, guardians, families and students.
The incumbent will be responsible for developing, implementing, and overseeing all campaign set-ups, lead data entry, lead forwarding and lead conversion results tracking relating to family and community engagement initiatives within the Archdiocese of New York. In addition, this individual will help the Director of Enrollment Management to establish all the unique ID numbers, so that each lead at the child, parent/guardian and family can be tracked through the system.
The Customer Relationship Management Analyst/Data Management incumbent will work with the goals of helping the Region’s Directors of Enrollment boost both enrollment and student achievement through effective lead management and conversion.
REPORTS TO: Director of Enrollment Management
PRIMARY DUTIES: The Customer Relationship Management Analyst/Data Management incumbent will be primarily responsible for:
- Managing the Region’s salesforce database, including adding to and maintaining all records contained in the salesforce Customer Relationship Management (CRM) database; identifying and eliminating duplicates within the CRM system on at least a semi-annual basis; and certifying the overall accuracy of the data through matching counts of children, parents/guardians and families across related systems.
- Setting up new enrollment campaigns each year, as required by the Director of Enrollment Management, for the purposes of conducting Kindergarten Readiness outreach efforts to parents of current UPK students and building enrollment for grades K-8 across all Regional Schools in the Archdiocese of New York.
- Supporting various marketing efforts conducted by the office of the Director of Enrollment Management, including:
- Coordinating the lead flow to/from AnswerNet, the vendor currently assigned to setting up school visits during the TOURING TUESDAY campaigns and at other times;
- Coordinating the posting of all important/relevant press releases and/or other public relations material to the Superintendent’s YouTube and Facebook pages and monitoring the results from those postings;
- Managing the annual update process for the School Finder database housed on buildboldfutures.org, ensuring that school listings are all correct on the website;
- Making other tactical changes to the Superintendent’s website as required for ongoing marketing activities conducted by the Office of the Director of Enrollment Management; and
- Continuing to update all of the marketing tracking systems used to measure total leads generated, number of TOURING TUESDAY visits booked/made; and number of applications/enrollments completed through the salesforce lead process.
- Ensuring that all necessary data and unique ID# connections are established between related systems, particularly between the salesforce CRM data and the data housed in thee Admissions Application, Financial Assistance Application and Enrollment Processing data housed in TADs, SMART Tuition and Cornerstone.
- Assisting the Director of Enrollment Management to complete the necessary reconciliations of all data housed in the afore-mentioned systems, so that record counts are consistent and dovetail with each other, and that unique children, parents/guardians and families can be correctly identified as they pass through each system.
- Serving as the primary liaison between the Department of Education in the Archdiocese of New York and salesforce representatives, to ensure that all system defects and opportunities for system improvements are identified and addressed promptly.
Qualifications:
- Excellent knowledge of the salesforce CRM software, including how to start and manage campaigns, enter and maintain data, and how to manage the process of eliminating duplicate records and bad records and emails from the database.
- Ability to continually check the quality and accuracy of the data housed in the salesforce CRM system, to spot data inconsistencies between salesforce and the other systems in use by the Department of Education in the Archdiocese of New York (TADs, SMART Tuition, Cornerstone). Ability to identify solutions to problems encountered with the salesforce CRM system, either as part of reconciling with these other systems and/or issues with lead flow and handling
- Minimum of three years’ experience managing salesforce CRM systems
- Bachelor’s degree required; Master’s degree desirable
- Ability to think critically, problem-solve, take initiative, handle multiple projects simultaneously, and efficiently meet deadlines
- Organized, effective manager with strong attention to detail and the ability to prioritize multiple tasks with minimal supervision; good communication, writing, and presentation skills; knowledge and experience with Microsoft Office Suite required. Strong work ethic with a high degree of professionalism
- Excellent interpersonal skills to work effectively with a diverse group of people, including parents, students, principals, Superintendent’s Central Office staff, Marketing and Communications staff, and other members of local communities

The Cardinal’s Annual Stewardship Appeal (CASA) is the annual fund for the archdiocese, raising over $20 million a year, to support charitable efforts which impact countless people throughout its ten counties. We are looking for campaign managers to be a part of our growing development team. Ideal candidates possess strong interpersonal and organizational skills, with the ability to work both independently and within a team environment. Currently, the CASA Office manages two other campaigns in addition to its annual fund – Capital Campaigns and Increased Offertory Campaigns.
Responsibilities:
- Help provide financial strength and stability to the Archdiocese of New York and its parishes by assisting in raising money for necessary capital projects, operational expenses, debt reduction, or to enhance reserves for future needs

- Capital Campaign:
- Help parishes raise funds required to achieve their most pressing needs
- Prioritize securing pledges in the $25,000-$250,000 range
- Assist pastor in establishing leadership committees tasked with engaging prospects to commit to the campaign
- Proactively manage all parish level solicitations
- Increased Offertory Campaign:
- Work with parishes on proven methods to enhance their collections, with the goal of increasing their regular offertory by 20% or more
- Emphasize stewardship as an integral component to the success of the campaign

Regional Superintendent Job Description
This position reports to the Superintendent of Schools and provides educational leadership to the Catholic Schools in their respective Region in collaboration with the Regional School Board of Trustees and pastors of parish-based schools. Specific responsibilities include:
- Catholic Identity
In collaboration with the Associate Superintendent for Mission Effectiveness, the Regional Superintendent helps to build and reinforce a strong and authentically Catholic faith community at their schools and in their Region. Working closely with pastors, principals and the Board, the Regional Superintendent will undertake the following:
- Encourages school administration to promote/practice regular routine of prayer that includes Mass, daily prayer, seasonal devotions (i.e. Rosary, Stations of the Cross), and reception of the Sacrament of Reconciliation.
- Confirms principals and teachers are properly certified with either Level I and Level II Catechist Certification or have a Master’s Degree in religious studies from a Catholic institution, as per the prescriptions of the union contract.
- Counsels principals to establish goals for religion exam performance and use them to evaluate incremental assessment leading to final exam.
- Advises principals how to analyze religion exam results and address needs of teachers and students.
- Assists in the effective use of the Catholic Identity Assessment Tool and collaborate with the Associate Superintendent for Mission Effectiveness in monitoring its implementation.
- Ensures all schools provide an annual retreat program for their faculty.
- Instructional
In collaboration with the Associate Superintendent for Curriculum and Staff Development, the Regional Superintendent creates a region-wide action plan that identifies academic goals, objectives and strategies, which are aligned with Archdiocesan goals from the strategic plan.
As the primary instructional leader for their Region of schools, the Regional Superintendent will monitor and assess the academic achievement of every school as well as the quality of its programs in conjunction with the Regional Board.
- Supervises and evaluates the effectiveness of the Instructional Specialists in attaining the academic goals of the Region.
- Monitors principal’s academic achievement goals, objectives, and long-range plans to ensure they are aligned with Regional goals.
- Holds follow-up meetings with principals of high-need schools to review action plans and strategies, conduct periodic visits to these schools, and report progress to the Associate Superintendent for Curriculum and Staff Development.
- Formalizes the protocol for school “walkthroughs,” identifying key elements under evaluation, procedures for communicating / addressing areas of concern and documenting results.
- Makes unannounced visits to all principals, and conducts walkthroughs to ensure effective instruction.
- Reviews all September and December school-based “action plans” and progress reports generated by data day.
- Reviews the evaluation’s summary reports for all principals and consult with each regarding his or her SMART goals.
- Provides appropriate consultation and ongoing support for schools to maintain Archdiocesan recognized AdvancEd school accreditation status.
- Promotes schools in their region to become U.S. Department of Education Blue Ribbon Schools.
- Leadership and Recruitment
In collaboration with the Associate Superintendent for Leadership and Recruitment, the Regional Superintendent will:
- Assists with the recruiting and training of school principals.
- Collaborates with the design and essential elements of the New Principal Formation Program, including: the New Principal Summer Institute, monthly meetings, tri-annual visits, and two annual luncheon meetings.
- Assists in mentoring at-risk principals by participating in monthly meetings to review progress, offering resources to support these principals, and counseling them out of their roles when necessary. Promotes compliance with the requirement that all principals obtain NYS Certification in Administration.
- Evaluates principals in accord with the Archdiocesan policy to determine leadership effectiveness and provide support to schools transitioning to new leadership.
- Recommends the discipline or termination of employment of principals to the Superintendent and the Board for their consideration and action.
- Coordinates the in-service training for new teachers within the Region.
- Administrative
- Serves as Superintendent’s representative on the Regional Board and Executive Committee, as requested by the Superintendent. Attends Board and committee meetings at the request of the Board and/or Superintendent of Schools.
- Keeps the Superintendent and Board informed of the condition of the Region’s educational system. Relays all communications by the Board to principals on school-related matters and receives from school personnel any communications directed to the Board.
- Acts as the Superintendent’s representative with local public school officials.
- Coordinates and plans, in conjunction with the Office of the Superintendent, Regional professional development offerings and the allocation of government resources to maximize the effectiveness of such programs.
- Promotes current and future Pathways to Excellence initiatives as they relate to further enhancing the Catholic Identity of the schools in their Region.
- Works with the Regional Finance Manager, who is charged with the oversight of the Region’s business operations.
- Oversees the education staff in the Regional Office, including the Instructional Specialist, Director of Enrollment and Regional Superintendent Assistant. (Note: While the Instructional Specialist and Director of Enrollment report directly to the Regional Superintendent, the Instructional Specialist receives administrative direction from the Associate Superintendent for Curriculum and Staff Development and the Director of Enrollment receives direction from the Director of Communications and Marketing.)
- Seeks to address complaints, comments and concerns regarding the educational operations of the Region that cannot be addressed by the principal. Serves as mediator in conflict resolution at the schools between individuals from the various school constituencies.
- Supports the Safe Environment Program through the collection and review of school rosters.
- Monitors the Regional Office budget in conjunction with the Parish Finance Office.
- Marketing
In collaboration with the Director of Communications and Marketing, the Regional Superintendent promotes the Archdiocesan student recruitment and marketing strategies to all schools in the respective Region.
- Assists schools with implementing Archdiocesan policies related to special events, awards or other recognition events, which can be leveraged to the media in conjunction with the Director of Communications and Marketing.
- Maintains regular communication with the Director of Communications and Marketing in advance of events, both positive and negative, that may require media coordination.
- Helps facilitate communication with schools on best practices with media and public relations in coordination with the Director of Communications and Marketing.
Supervises, directs and evaluates the effectiveness of the Director of Enrollment, in conjunction with the Director of Communications and Marketing, in promoting the Archdiocesan student recruitment and marketing strategies to all schools in the Region.
