Strategic Planning & Government Programs Associate
This role presents an opportunity to learn about educational leadership, public policy and complex school programs at every level of government. The Superintendent of Schools Office is looking for someone who is an excellent communicator with strong writing abilities, capable of receiving complex information and formulating clear announcements and directives on behalf of others. The ideal candidate will be eager to learn a new set of administrative skills and able to manage and prioritize multiple projects simultaneously. You will regularly communicate with all levels of the Archdiocese of New York and external constituents, including government agencies and officials. With Collaboration from the Associate Superintendent, you will:
- Regularly communicate with all levels of the Archdiocesan community, including principals, other superintendents staff, boards, and donors and external constituents, including elected officials and government agencies i.e. Departments of Education, Health and Transportation, Bureau of Nonpublic Schools, City/State Legislatures, etc.
- Create and maintain both budgets and related tracking documentation for various office and governmental programs i.e. ESEA, Title funds, grant projects, immunizations, Smart Bond etc.
- Draft emails, forms, protocols and other correspondence to principals and other stakeholders and monitor the implementation of such directives.
- Oversee programs with direction from the Associate Superintendent and represent the Associate Superintendent in communication with various constituents.
- Prepare material for all meetings, maintain files, and organize materials for future meetings.
- Learn about and give guidance to principals and school staff on various programs that are provided to Catholic schools from various governmental and private entities.
- Assist with correspondence from the Superintendent of Schools’ Office, particularly in matters relating to governance of the regional schools and their boards.
- Continue to convey the practical implementation of the strategic plan to related parties, under the guidance of the Deputy Superintendent of Schools.
- Carry out directions to independently manage and complete projects both on short deadlines and long-term timelines.
- Complete other duties as assigned by the Associate Superintendent.
You Need:
- Masters degree (preferred) plus at least 3-5 years of experience working directly for an individual in a leadership role, teaching, or comparable experience.
- Excellent information management, analytical, administrative and communication skills.
- Demonstrated ability to collaborate and work well on a team, providing assistance as needed.
- Ability to meet tight deadlines and balance multiple projects simultaneously.
- Proficiency with computers and technology including Microsoft Office Suite, Google Tools, Adobe, etc.
- Knowledge of education management or schools (preferred).

JOB GOAL: The instructional specialist will provide ongoing development of the instructional programs within the assigned school region and their schools to improve teachers’ instructional practices that increase student learning. The instructional specialist also works collaboratively with the principal.
PRIMARY DUTIES: Duties may include, but are not limited to, the following:

Summary:
This position manages the operation of a Catholic elementary school central office. The position oversees the day to day school office activities, supervises clerical staff and provides various support services for students, parents, staff, and the public. The position promotes positive public relations for the school; aims to establish effective rapport with parents while working effectively with the building administrator and other faculty. The Office Manager will interface with parents, students, Accounting Coordinator, Human Resources Coordinator, Marketing Specialist and Business Manager.
Job Requirements:
- 4 year business related degree or 7 years related experience and/or training or equivalent combination of education and experience required
- Must have strong knowledge of Microsoft Excel and be able create and run reports in addition to charting , pivot tables, functions, formatting and filters
- Experience working with Smart Tuition and Cornerstone software preferred

Essential Functions and Responsibilities:
- As a representative of the school and Principal, the Office Manager must maintain a pleasant and professional demeanor with parents, children and staff. Answers inquiries and researches data to provide information concerning school programs as requested.
- Responsible for coordinating with the school’s SMART tuition representative and Business Manager to ensure fees, tuition and program (e.g.: pre-k, before and after school, etc.) rates are set as outlined in the Regional budget.
- Oversees collection efforts and manages the Smart Tuition school account and runs weekly delinquent tuition reports; Reaches out to parents with past due accounts and drafts communication if no response is received or payment agreement established, as per the Regional Policy Directives.
- Acts on behalf of assigned administrator(s) in their absence (e.g.: answering or following up on questions, concerns, complaints) for the purpose of conveying and/or gathering information required for their resolution in a timely manner.
- Supports the Principal in administering grant funds and providing necessary accounting/paperwork to the treasury office. Identifies and fosters community sources for donations of supplies and/or services to promote school curriculum or enrichment.
- Maintains and updates lobby event boards and monitors weekly bulletin submissions to the school’s parish.
- Oversees and maintains the following programs and vendor management: hot lunch and milk, after school, bank deposits. Keeps track of forms and maintains Cornerstone and the Immediate Response Information System (I.R.I.S) by entering new student and family information and making changes of address, email, telephone numbers, and other personal information; maintains the sacraments list.
- Coordinates the work of office secretarial and clerical personnel; monitors work load; maintains vacation calendar and assigns coverage and overload assistance. Oversees the work of student office assistants and community volunteers; distributes and reviews work.
- Distributes, monitors and maintains building keys and safes. Troubleshoots problems with office equipment and calls for service as necessary. Writes work orders for custodial personnel.
- Reconciles payments collected by school staff for a variety of events (e.g.: fees and fundraisers) for the purpose of completing transactions and/or securing funds.
- Maintains and secures manual and electronic documents, files and records (e.g.: student registration data, student health forms, master calendar, budget data, employee records, financial records, reports) for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.
- Reconciles account balances for assigned budget categories (e.g.: student council, fundraisers, donations, requisitions) for the purpose of maintaining accuracy.

Mission:
The Young Adult Outreach Internship program is a great opportunity for a young adult to learn the ins and outs of Young Adult Ministry. Working with the largest Archdiocesan Young Adult Outreach program in the country, the intern will have the unique opportunity to help run events, strategize on evangelization, complete office work, and attend meetings.
Responsibilities:
- Perform all that is asked from the Director of Young Adult Outreach.
- Attend and assist at various young adult events, requiring nights and weekends.
- Attend Young Adult Masses throughout the year from the various Young Adult Groups.
- Help the Director of Young Adult Outreach set up the Archdiocesan Leaders meeting 3 times a year. (Primarily helping with emails).
- Assist the Director and team with the Young Adult Mass.
- Assist the team with the Love & Responsibility Summer Series.
- Sometimes assist the Region 3 Coordinator with the “You Did It To Me” Apostolic program.
- Help to set up/take down all required young adult events.
- Assist with the Life to the Full Book Club.
- Assist with other Love and Life programs.
- Help in preparations of the weekly Catholic NYC email blast.
- Assist with Archdiocesan monthly Holy Hours.
- Attend all Leaders’ Meetings.
- Greet all visitors who come to the Young Adult Office.
- Answer phone calls when necessary.
- Enter emails collected at young adult events into the CatholicNYC website.

Performance Standards:

Job Description
The Business Manager shall have charge, oversight, and responsibility for the Catholic School Region business operations on a day-to-day basis, under the general oversight of the Board of Trustees.
The Business Manager shall:
- work in conjunction with the Regional Office to provide services to the Region
- be the liaison between the Board, the Regional Office, the Regional Superintendent of Schools, and the Director of GRSS Financial Operations
- be responsible for implementing the business policies and procedures developed in conjunction with the Regional Office as well as the resolutions approved or adopted by the Board for the conduct and management of the affairs of the Catholic School Region, and also for ensuring that the Catholic School Region operates pursuant to the Laws, Rules, and Regulations
- create and oversee the implementation of school-based budgets and the regional budget
- conduct all official correspondence of the Catholic School Region and be responsible to affix the corporate seal to all instruments requiring it, and keep such other records and perform such other duties as may be assigned to the Corporate Secretary by the Chair/President, the Board, or the By-laws
- have responsibility for attending and scheduling all meetings of the Board of Trustees, including recording meetings and ensuring minutes of Board meetings are prepared; preparing agendas and materials for the Board meetings; ensuring committee meetings are scheduled and minutes are prepared; and preparing and filing, in the corporate minute book, all notices, resolutions and minutes of the Board of Trustees and the Members
- support the Regional Superintendent/Superintendent of Schools efforts in executing the Pathways to Excellence strategic plan
Education and Experience
A successful candidate must have a bachelors or higher degree in business administration, finance, or education. The position requires at least seven years experience in business/finance, project management, or education administration.
Personal Characteristics
The candidate must have strong written and oral communication skills, strong interpersonal skills and judgment, excellent organizational skills, and a demonstrated capability for working collaboratively in a team environment. A strong working knowledge of Microsoft Excel and Word is preferred. The Business Manager should be Catholic and/or have a strong understanding and appreciation of the Catholic faith and the importance of Catholic education.
